What is database ?

          Database is used to store organized collection of related information on a certain subject.

 

What is data?

          Data is unorganized and meaningless raw facts suitable to be processed by computer

 

Eg:- number , text , images , ect ………………

 

How does a database help a user ?

          If the user has a stored collection of information on a certain subject he can sort , he can also compare the data , he can compare the data , he can make a report on the data and can have a quick or sudden access to the data.

What is data file?

          A file is a unit of information that may hold a document , a program or collection of database tables with the database package extension.

 

Eg– school . mdb - Microsoft Access Database

          School . Sql  - sql database.

 

What is database table ?

          A collection of records about a specific topic . There can be multiple table in a database .

 

Eg - student table , staff table.

 

What is record ?

                      Record is a part of a table and it holds   a collection  of related   data  fields  . It is  a collection information   about  one or many thing  related to a subject.

     Eg:  database  of address may  have 100  record.

 

 

 

What is fields?

                       A field is a  part of record   use  to hold a   specific  type  off information  . A single records  contains many fields. And   field is a  column in a table.

Eg:   In  address table name, address , street no, postal code.

 

What  is data type?

        Data can be separated according its  own characteristics .The property of each  field  has 1 a data type.

Eg:    

    Field:data of birth –data type:date /time

    Field:name  -data type :text

    Field:image-data type:objects

 

 

 

Data Types

 

· Text—   this can include numbers, letters , and symbols can   contain up to 255 characters.

 

· Memo-  this field can include an almost infinite amount  of  text.

 

· Number– can include  numbers only (not currency or a date)

 

· Data\ time—simply a date  and time

 

· Currency– a number formatted as an amount of  money can insert  money   values only.

 

· Auto number– Ms access automatically fills in a consecutive  number  for  each  record.

 

· Yes /No –It can store only 2 values. Yes /No

How to make a database table using Microsoft Access ?

 

· First make a database and give a name start - all programs - ms access - select a blank database - give a file name - create.

· Click  ‘create a table in design view ’ - enter field name , data type of what you need - and give a suitable table name for the created table .

 

 

 

 

 

 

 

 

 

 

Queries

 

Queries stored instructions that select data from one or more tables for reporting , analysis , and data management purposes.

 

How to create a query?

· Select query table and double click on create query in design view.

· Show table will appear .Select your table (student) and click on add button . Then close the window.

· Then you will get a window.

· Select the field name from the table and drag and drop them onto each column of field row .

· Type a query to sort first name in ascending under the sort field . Then click on run icon .

· Now see whether the first name column is in the ascending order .

 

What is Query ?

          Query is a request which we can filter data from the database according to the user’s request . Stored instructions that select data from one or more tables for reporting , analysis , and data management purpose .

          This is a layout to represent data to navigate and can add , amend and delete record to database.
